Privacy Policy

1) Introduction

PainlessPDF is committed to protecting your privacy. This policy explains what data we collect, why we collect it, and how we use, store, and protect that information while you use our PDF tools. By using PainlessPDF, you acknowledge this policy and agree to its terms.

2) Personal Information

We collect basic account details such as your name, email address, and authentication data when you sign up or sign in. If you use social sign in, we receive basic profile and account information from your selected identity provider (such as Google), limited to what is necessary for authentication.

We also store billing-related identifiers needed for subscription management, such as customer IDs from our payment processor. We do not store full payment card details.

3) Usage and Analytics

We collect technical and product usage data to keep the service reliable, diagnose issues, and understand how features are used. This may include your browser type, operating system, device identifiers, IP address, pages visited, and interaction events.

We may use analytics tools to help aggregate and analyze this information. We do not use this data to build advertising profiles or share it with ad networks.

4) Data Retention

We retain your account information for as long as your account is active or as needed to provide the service. If you close your account, we will delete or anonymize your personal information within a reasonable period, except where we are required to retain it by law.

PDF files uploaded for processing are handled transiently. We do not retain your document contents beyond what is needed to complete the requested operation. Usage and analytics data may be retained in aggregate form for a longer period to improve the service.

5) Data Protection

We use safeguards including encryption in transit (TLS), access controls, and infrastructure monitoring to protect your data. Internal access is limited to authorized personnel who need it for operations and support. No security system is impenetrable, and we cannot guarantee absolute security of your data.

6) User Rights

You have the right to access, correct, or delete your personal information at any time. You may also request a copy of the data we hold about you or ask us to restrict its processing. To exercise any of these rights, contact us at [email protected] and we will respond within a reasonable timeframe.

If you are located in the European Economic Area (EEA) or United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR), including the right to data portability and the right to lodge a complaint with your local supervisory authority. If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA), including the right to know what personal data is collected, the right to deletion, and the right not to be discriminated against for exercising these rights.

7) Data Sharing

We do not sell your personal data. We share limited information only with service providers required to operate the product, including our payment processor and identity providers you choose during sign in. These providers are contractually required to protect your data and may only use it to provide services to us.

We may disclose your information if required by law, regulation, or valid legal process, or to protect the rights, property, or safety of PainlessPDF, our users, or the public.

8) Children's Privacy

PainlessPDF is not directed at children under the age of 13, and we do not knowingly collect personal information from anyone under 13. If we become aware that we have inadvertently collected data from a child under 13, we will take steps to delete it promptly. If you believe we may have collected such data, please contact us at [email protected].

9) Cookies and Tracking

We use essential cookies to maintain your session, authenticate your account, and secure your interactions with the service. These cookies are necessary for the service to function and cannot be disabled.

We do not use third-party advertising trackers or behavioral profiling cookies. Any analytics cookies we use are limited to understanding aggregate service usage and are not used for ad targeting.

10) PDF File Processing

PDF files you upload are processed solely to carry out the actions you request, such as merging or editing operations. Processing may occur on backend services hosted by third-party infrastructure providers. We do not analyze the contents of your documents for purposes other than delivering the service, and we do not retain document content after processing is complete.

11) International Transfers

Your data may be transferred to and processed in countries other than your own, including countries that may not provide the same level of data protection as your home country. Where such transfers occur, we take steps to ensure your data is protected in accordance with this policy and applicable law, including relying on standard contractual clauses where required.

12) Security Incidents

In the event of a data breach that affects your personal information, we will notify affected users and relevant authorities as required by applicable law. We will provide information about the nature of the breach, the data affected, and the steps we are taking in response.

13) Policy Updates

We may update this privacy policy periodically. When we make material changes, we will revise the date shown on this page. Continued use of PainlessPDF after changes are posted constitutes your acceptance of the updated policy. We encourage you to review this page periodically.
